Position Title:  Operations Manager

The Capital Region Food and Agriculture Initiatives Roundtable (CRFAIR) are
recruiting a part-time Operations Manager for a 6 month term.  This
position may be extended or become permanent for the right candidate.
General Description

CRFAIR is a not-for-profit community based organization that acts as a
coordinating backbone to a network of food, farm and health organizations
(The Good Food Network) that are working to promote healthy and sustainable
food systems in the Capital Region. To learn more about our work, visit
www.crfair.ca.   The Operations Manager enables the efficient and effective
day-to-day operations of CRFAIR by developing, implementing and providing
ongoing support for critical organizational systems and infrastructure.
Role and Responsibilities

POSITION SUMMARY:  This position works closely with the Executive Director
to identify and act on strategic opportunities that are aligned with
CRFAIR’s objectives and purpose. The primary purpose of the position is to
support the Executive Director, ensuring that CRFAIR operations are
sustainable and based on sound financial and risk management practices. The
Manager will also contribute heavily to policy development, human and
resource management and resource development.  The Manager plays a key role
in overseeing administrative and reporting systems, supports board decision
making through the provision of reliable, actionable information and
closely monitors and manages organizational performance.

MAJOR RESPONSIBILITIES:

   1. Be a point of contact for the organization to general enquiries
   2. Oversee all internal communications infrastructure (Google Docs,
   Trello Boards)
   3. Develop, communicate and implement CRFAIR Administrative  and
   Management Systems  (financial, project management, reporting, and
   contracting systems)
   4. Manage organizational document repositories (filing and tracking
   systems, version control, etc.) and create and manage templates (contract,
   letterhead, etc.)
   5. Draft contracts and agreements,  letters and other documents
   6. Develop, format and edit reports and other documents as needed
   7. Monitor and report on organizational finances to the ED, Treasurer
   and Accountant
   8. Create and develop Project Charter and project budgets, monitoring
   and tracking systems
   9. Support program evaluation schedules and processes
   10. Manage invoicing and expense processes and prepare and issues
   invoices and grant payment requests as needed
   11. Manage CRFAIR assets and infrastructure (physical and virtual)
   12. Work with the Executive Director  to provide expertise and support  for
   annual/ongoing organizational planning, budgeting, fundraising  asset
   management, policy development, and communications

QUALIFICATIONS:   EDUCATION/EXPERIENCE:

Post-secondary education in administration and business and/or several
years’ administrative and managerial experience in a small- to medium-sized
organization.  Experience in a not-for-profit organization is an asset.



SKILLS/ABILITIES:

·         Proficiency in office management.  Excellent organizational and
project management skills.

·         Strong analytical skills with experience in strategic and
operational planning

·         Knowledge of organizational performance management methodologies
and risk mitigation strategies

·         Advanced office computer skills, including word processing, use
of graphics, document production and spreadsheets.  Experience using
database software is an asset.

·         Proficient in plain English writing and proofreading skills.

·         Expertise in developing and maintaining financial reporting
including the production of budget documentation.
TERMS OF EMPLOYMENT:

This is a part-time position of up to 20 to 25 hours a week.   Some
flexibility is required in availability for special events.  Must have home
office and transportation.

Rate of Pay will be commiserate with skill set: $25 to $28/hour + mandatory
benefits.  Holiday time will be pro-rated based on hours of work at the
full-time equivalency of 21 days per annum.
